Privacy policy.

What we collect, why we hold it, and what you can ask us to do with it.

1. Who is responsible for your data

Rugby Snagging Co Ltd is the data controller for the personal information described here. We are registered in England and Wales, company number 17375058, registered office 2b Daventry Road, Kilsby, Rugby, CV23 8XF. Our ICO registration is CSN6969180. 2. What we collect

Your name, email address, phone number and the address of the property.

Booking details: the level of inspection, bedroom count, dates and the price you paid.

Your correspondence with us.

Payment references. We never see or store your card details. Payments are handled by our payment processor.

Photographs, measurements and notes recorded at the property during the inspection.

Technical information such as IP address and device type, collected by our hosting provider when you use the site.

3. Where it comes from

From you, in almost every case. Occasionally from your developer, solicitor or a family member where they arrange the inspection on your behalf.

4. Why we hold it, and our lawful basis

To quote for and carry out your inspection, and to deliver your report: performance of our contract with you.

To take payment and keep accounting records: performance of our contract, and our legal obligations.

To send you the free checklist and any follow up about it: your consent, which you can withdraw at any time.

To defend ourselves against a claim, to maintain insurance cover, and to improve how we work: our legitimate interests.

5. Who we share it with

Our hosting and database provider, our email delivery provider and our payment processor, all acting on our instructions.

Resend, which sends our transactional and notification email on our behalf.

Our insurers and professional advisers, where a claim or a complaint makes that necessary.

Your developer or their site team, only where you have asked us to liaise with them on your behalf.

We do not sell your personal information, and we do not share it for anyone else's marketing.

6. Where your data is held

Some of our providers process data outside the UK. Where they do, we rely on UK adequacy regulations or the UK International Data Transfer Agreement to keep your information protected to the same standard.

7. Photographs of your home

Photographs taken during an inspection form part of your report and are held with your file. We only use them publicly, for example as an example of our work, with your written permission and with anything that identifies you or the property removed.

Where we fly a drone, we keep the survey to your property. Any incidental footage of neighbouring homes is deleted and never forms part of a report.

8. How long we keep it

Enquiries that do not lead to a booking: 12 months from your last contact with us.

Inspection records, reports and photographs: 6 years from the date of the inspection, to cover the limitation period and our insurance requirements.

Accounting records: 6 years, as required by law.

Checklist and marketing contacts: until you withdraw your consent.

9. SnagCoach

If you buy SnagCoach, we hold your information to provide it to you: performance of our contract with you.

We hold your account email address, the home details you enter (such as your address, completion date, developer and warranty policy number), and the notes and photos you add to your workbook.

Stripe is our payment processor. Stripe takes your payment and we never see your card details.

We keep your SnagCoach workbook until 90 days after your two-year date, or 27 months after purchase if you don't add a completion date. We email you 30 days before we delete it. You can delete it at any time.

Signing in to SnagCoach uses strictly necessary browser storage to keep you signed in.

10. Your rights

You can ask us for a copy of your information, to correct it, to delete it, to restrict or object to how we use it, or to have it sent to another provider. You can withdraw consent to marketing at any time. Email info@rugbysnagging.co.uk and we will respond within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

11. Cookies

We use only the cookies and similar storage needed to make the site work, such as keeping staff signed in to our admin area. We do not use analytics or advertising cookies.

12. Changes to this policy

We update this policy when how we work changes. The date at the top tells you when it last changed.
